What each part of Stockpot does, and how the pieces fit together.

Dashboard

Your daily snapshot of spend, stock, and what needs attention.

  1. Start at Needs you now: zero-stock items, invoices waiting to be reviewed, and dishes over their food cost target, each with one action beside it.
  2. What changed covers the period you pick at the top of the page: ingredient prices that moved, and the invoices you have taken in.
  3. How it's going carries spend, stock on hand, below par, waste and food cost, with the charts underneath as the evidence. The period selector (7/30/90 days) drives both of these bands; what needs you now, stock on hand and below par are always current.
  4. A first-run setup checklist walks new accounts through invoice → recipe → sales until everything is connected.

Invoices

Turn supplier invoices into inventory, cost, and pricing updates automatically.

  1. Drop one or many files onto the invoices page; each is saved as a draft and read by AI in the background (you can close the browser).
  2. Open a draft to review the extracted supplier, lines, and ingredient matches, then Approve.
  3. Approval is what actually updates stock, unit costs, price history, and fires any price-spike alerts. Drafts alone don't touch anything.
  4. View any posted invoice's original file next to its line items at any time.

Purchase Orders

Track orders from draft through delivery.

  1. Create a new order by picking a supplier, then add items from their catalog (with stock-vs-par shown for each).
  2. Orders move through Draft → Send for approval → Approve → Received.
  3. Marking an order Received can match it to an existing invoice for that supplier, or you can receive without a match.

Inventory

Every ingredient's stock level, cost, and reorder status in one table.

  1. Every ingredient has a detail view: price history, recipes using it, suppliers, and purchase history.
  2. Yield % accounts for trim/waste: the effective cost recipes use is higher than the raw purchase price when yield is below 100%.
  3. The Quick Order sidebar builds a draft purchase order for anything below par, grouped by supplier.

Suppliers

Contacts, catalogs, and pricing per supplier.

  1. Each supplier can sell several products (brand/pack size) for the same ingredient; pick which one is "preferred" for recipe costing.
  2. Import Catalog AI-reads a supplier's price list instead of entering products by hand.
  3. Market Analysis compares the same ingredient's price across suppliers so you can catch a better deal.

Recipes

Cost every dish and prep item so menu prices stay profitable.

  1. Menu recipes are sold to guests; plate cost, menu price, and food cost % are calculated live from ingredient costs.
  2. Prep recipes (stocks, sauces, batches) produce output items instead. Log a production run and stock/costs adjust automatically.
  3. Cost History on a recipe's detail page shows how its plate cost has moved over time as ingredient prices changed.

Sales

Import what you sold so inventory draws down automatically.

  1. Import a CSV export from your POS; each row is matched to a recipe by name.
  2. Every matched sale decrements the ingredients that recipe uses, scaled to portions sold.
  3. If some rows can't be matched, an "unmatched sales" banner lets you link them to a recipe manually, and stock then adjusts retroactively.

Analytics

See where money and stock are actually going.

  1. The Inventory tab compares actual stock against par levels and shows purchasing efficiency.
  2. The Food Cost tab shows food cost % by dish and compares theoretical usage (what recipes say you should have used) against actual usage; the gap is waste or shrinkage worth investigating.

Alerts

Low stock and price spikes surfaced in one place.

  1. Alerts fire when stock drops below par, or when a purchase price jumps past your configured spike threshold.
  2. Resolve, dismiss, or jump straight to reordering an alerted item from its row.
  3. Thresholds for both alert types are configurable in Settings.

Settings & Profile

Restaurant profile, team access, and your preferences.

  1. Invite teammates and assign roles under the Team tab; permissions are configurable per role.
  2. Preferences control your currency, whether prices display including or excluding VAT, and alert thresholds.
  3. Click your initials in the top-right for Profile (name and password), Settings, Help and Sign out.
